We, Immobefund GmbH, take the protection of your personal data very seriously. This Privacy Policy explains how our Add-Ins “Immobefund” for Microsoft Word and “Immobefund Extract” for Microsoft Excel (collectively “Add-Ins”) process data.

Types of Data Processed

The Add-Ins process only data that you actively provide:

• Immobefund (Word): A physical address (street, house number, postal code, city).
• Immobefund Extract (Excel): PDF documents (e.g., rent rolls, utility value reports) that you upload for table extraction.

Purpose and Nature of Data Processing

A. Immobefund (Word Add-In)

Retrieval of images from public registers:

• You enter an address in the Add-In.
• The Add-In uses this address to send a temporary request to public external sources (e.g., hora.gv.at, basemap.at, senderkataster.at).
• The Add-In retrieves the images or information available on these sites for the queried address and displays them for insertion into your document.

Creation of content using AI:

• For certain functions, the address you enter is sent to Google Vertex AI (running exclusively in Frankfurt, Germany — europe-west3).
• This service uses the address to perform tasks on your behalf, such as writing descriptive texts or researching relevant information.
• The results (texts, images) are sent directly back to the Add-In and made available to you.

B. Immobefund Extract (Excel Add-In)

Extraction of table data from PDF documents:

• You upload a PDF document (e.g., a rent roll) to the Add-In.
• The PDF is sent to a specialized extraction service (Reducto AI) that reads the table data in a structured format. This service operates on servers within the European Union.
• The extracted data is displayed for your review. You decide which data is inserted into your Excel document.
• The uploaded PDF is not kept as a long-term product document in our application database; processor-side technical retention may apply according to provider policies.

Most document processing is real-time. In parallel, operational metadata (for authentication, billing, support, security, and reliability) is retained according to legal and operational requirements.

Data Storage

We follow a data-minimization approach:

• Document contents are generally processed request-based and are not maintained as a permanent full-text repository.
• Operational data is stored where required (for example authentication, organization, billing, consent records, usage accounting, and security/error telemetry).
• Retention periods differ by data category and legal basis.
• Inserted images, texts, and table data become part of your own Office document once you confirm insertion.

Data Sharing with Third Parties

To provide the functions, your data must be sent to the servers of the respective services. This is technically necessary to fulfill the queries. Apart from this functionally necessary transmission, we do not share any data with third parties.

Your Rights

Your GDPR rights (including access, rectification, deletion, restriction, objection, and portability where applicable) generally apply to stored personal data. Some requests may be limited by legal retention obligations (for example accounting and invoicing requirements). For authentication data managed via Better Auth (stored in Supabase, EU) and billing data managed by Stripe, please refer to their respective privacy policies. You may contact us at any time with questions about data protection. You also have the right to file a complaint with the Austrian Data Protection Authority (dsb.gv.at).

International Data Transfers

All core data processing occurs within the European Union:

• LLM processing: Google Vertex AI in Frankfurt, Germany (europe-west3)
• PDF extraction: Reducto AI EU endpoint (eu.reducto.ai)
• Backend: Google Cloud Run in Belgium (europe-west1)
• Authentication: Supabase in Frankfurt, Germany (eu-central-1)

Google Maps Platform is a global service, but only addresses/coordinates are transmitted — no document content or personal data.

Children’s Privacy

The Immobefund Add-Ins are professional tools designed for real estate appraisers and are not intended for use by children under 16.

Changes to This Policy

We reserve the right to update this Privacy Policy to comply with current legal requirements or to reflect changes in our services. The updated policy will apply to your continued use.
